A well-designed stand can still be delayed at the loading bay if the paperwork does not match the build. Exhibition risk assessment requirements are not a box-ticking exercise: they are how venues, organisers, contractors and exhibitors make sure a branded space can be installed, operated and removed without creating avoidable risk.

For exhibitors, the practical challenge is knowing what belongs in the assessment, who is responsible for it and when it must be submitted. The answer varies by venue, stand design and build method, but a clear assessment prepared early makes every other part of the event easier to manage.

What exhibition risk assessment requirements cover

A risk assessment identifies hazards associated with your exhibition activity, considers who could be affected and sets out the controls needed to reduce the risk to an acceptable level. It should cover the full event cycle, not just the hours when visitors are on the stand. That means delivery, unloading, installation, open-period operation, dismantling and removal.

Most UK venues and organisers expect exhibitors with a space-only stand, a custom build or contractor activity to provide a risk assessment. Shell-scheme exhibitors may have fewer documentation requirements, particularly where they are simply using the supplied structure and furniture. Even then, risks from portable displays, electrical equipment, product demonstrations and stock still need consideration.

The document should be specific to the activity. A generic form that refers only to “building an exhibition stand” gives the organiser little confidence that the actual design, venue rules and build team have been considered. A modular T3 stand assembled without tools, for example, presents different risks from a timber-built stand requiring cutting, lifting equipment and multiple trades.

Start with the stand plan and venue manual

The exhibition plan is the starting point for a useful assessment. Confirm the stand footprint, height, access points, storage areas, counters, screens, hanging elements and any features that may affect visitor movement. Then read the organiser’s exhibitor manual carefully. It will set out deadlines, permitted build times, loading restrictions, fire rules, electrical ordering procedures and documents required for contractor access.

Venue requirements can differ significantly. One venue may require a risk assessment and method statement for any build activity, while another may also request public liability insurance, structural calculations, electrical certificates or a separate plan for working at height. If a stand includes rigging, raised platforms, enclosed areas, cooking equipment, vehicles or live demonstrations, expect additional approval steps.

It is sensible to establish early whether the organiser classifies your stand as shell scheme, space only or a complex structure. This affects the level of review and the information required. Leaving this question until the final week can lead to redesign costs, missed deadlines or restricted access during build-up.

Assess the real hazards of the build

A good exhibition risk assessment should reflect the work that will actually happen on site. Installation is often completed to a tight programme alongside other contractors, lorries, forklifts and venue teams. The controls therefore need to be practical enough for the crew to follow.

Common hazards include manual handling of frames, graphics, counters and signage; trips from packaging, tools and cables; working at height when fitting overhead graphics or lights; and temporary congestion around loading bays. Electrical equipment, display screens, extension leads and illuminated signage also require suitable controls, particularly where cables pass close to public areas.

For many stands, manual handling is the main issue. The assessment should identify heavier items, the number of people required to lift them, the route from the loading area to the stand and whether a trolley or other handling aid will be used. A lightweight tension-fabric display can reduce lifting demands and build time, but it still needs to be unpacked safely and positioned without blocking aisles.

Public safety needs equal attention. Consider protruding corners, unstable freestanding signs, low-level bases, open storage, crowded demonstration areas and queues that may spill into gangways. Graphics, counters and accessories should be secured in line with the manufacturer’s guidance, while emergency exits, fire points and venue service channels must remain clear.

Where the stand includes a product demonstration, the assessment should go beyond the display structure. Identify the product-specific risks, the competence required of staff, any barriers or exclusion zones and what happens if equipment fails. A simple monitor loop may need only cable management and secure mounting. A working machine, hot product sample or interactive activity will need more detailed controls.

Risk assessment and method statement are not the same

Exhibitors often hear the term RAMS, meaning risk assessment and method statement. The two documents work together but serve different purposes.

The risk assessment identifies hazards and controls. The method statement explains the planned sequence of work: who will unload the materials, how the stand will be assembled, how graphics and lighting will be fitted, how waste will be managed and how the area will be left safe at the end of each shift.

For a simple portable stand, the method statement may be short. For a larger modular installation, it should describe the build order in enough detail for the installation team and venue to understand the approach. This is particularly useful where electrics, flooring, internet connections and AV equipment need to be coordinated with venue services.

Do not treat the method statement as a sales description of the stand. It should state the equipment used, the people involved, the controls that apply and the handover process before the venue opens to visitors. If plans change on site, the team should pause and review whether the paperwork still reflects the work being carried out.

Assign clear responsibilities

The exhibitor retains responsibility for its own stand and activities, even when specialist suppliers are involved. In practice, responsibility should be shared clearly between the client, stand contractor, venue, organiser and any third-party service providers.

The client should provide accurate information about products, demonstrations, staffing and intended use of the space. The stand provider should assess the construction and installation activity within its scope. Venue teams control the building and may inspect the stand, while the organiser sets event rules and approval procedures. Electricians, riggers and other appointed specialists are responsible for their own work and certification.

The safest arrangement is one in which these responsibilities are agreed before graphics are printed and build dates are fixed. A supplier managing the stand, signage, logistics, installation and compliance documents can identify clashes early, rather than leaving the client to coordinate separate print, build and electrical contractors.

Build controls into the design, not just the paperwork

The most effective way to meet exhibition risk assessment requirements is to remove unnecessary risk at the planning stage. Reusable modular systems can limit the need for on-site cutting and specialised tools. Portable tension-fabric displays reduce the weight and volume of materials being moved through a venue. Purpose-made cable routes, stable bases and properly specified fixings make the finished stand safer as well as tidier.

There are trade-offs. A large, high-impact feature may need more installation time, stronger fixing methods or structural approval. An elevated sign can improve visibility across the hall but may introduce working-at-height controls and venue restrictions. The right choice depends on the event objective, the available build window and the venue’s technical rules.

Allow time for a final check before opening. Inspect graphics and panels for secure fixing, test electrical items, remove packaging, check cable covers and make sure staff know where fire exits and first-aid facilities are located. This handover is where a risk assessment becomes visible in the real stand environment.

Keep the documents current and available

Submit documents by the organiser’s deadline, but do not assume the job is finished once they have been accepted. Keep the latest risk assessment and method statement accessible to the build team, and brief everyone working on the stand before installation starts. Any significant change – such as a revised layout, added screen, different demonstration or altered build method – may require the assessment to be updated.

A well-managed exhibition is not one with the most paperwork. It is one where the stand looks exactly as intended, the build runs to plan and the team can focus on visitors rather than solving preventable site issues. Getting the assessment right early gives your event space the same level of care as the branding it carries.
