Start exhibition project planning with clear event objectives

Begin with what the event must achieve for the business. A lead-generation stand needs a different layout, staffing plan and visitor journey from a product launch, distributor meeting or brand-awareness campaign. Set measurable priorities early: qualified conversations, booked demonstrations, product enquiries, data capture or meetings with existing customers.

Those objectives should shape the footprint and the spend. For example, a smaller space with a well-positioned demonstration area may produce better conversations than a larger stand filled with products but short on room for visitors. Equally, if the event is part of a wider programme, reusable modular hardware can make stronger commercial sense than commissioning a one-off structure for every show.

Confirm the stand package and venue rules as soon as possible. Check the allocated dimensions, height limits, open-side requirements, build-up and breakdown times, loading arrangements, permitted rigging and any restrictions on displays, lighting or sound. These details affect design decisions from the outset, not just the installation plan.

Build the stand around visitor flow and brand use

A stand should give people a reason to stop, understand what you offer quickly and know what to do next. That means balancing visual impact with practical use. Consider where visitors will enter, where staff will greet them, whether product demonstrations need power or storage, and where a longer conversation can take place without blocking the aisle.

Graphics need to work at several distances. Large-format messages should be readable from across the hall, while supporting content can explain products or services once visitors are closer. Avoid filling every panel with copy. A clear proposition, recognisable branding and a focused call to action generally work harder than a wall of competing messages.

The best display format depends on the event programme. Tension-fabric displays are lightweight, portable and effective where fast transport and simple assembly matter. They are particularly useful for conferences, shell-scheme spaces, roadshows and repeat events with straightforward layouts. A T3 modular system is better suited to exhibitors that need adaptable configurations, integrated storage, stronger architectural presence or the ability to reuse the same framework across different stand sizes. Coordinate venue services early

A professional stand relies on more than structure and graphics. Venue services are frequently ordered through the organiser or approved suppliers, often with advance-order deadlines and higher charges for late requests. Create a service schedule that covers exactly what the stand requires.

Electrics should be based on the real equipment plan, including screens, laptops, lighting, chargers, demonstration units and catering equipment. Identify where sockets need to sit rather than simply ordering a total number of outlets. Cable routes must be considered during the design stage, especially where a stand has open sides or accessible floor areas.

Flooring affects both appearance and safety. Raised flooring can conceal cables and create a defined branded space, but it may require edge ramps, accessibility consideration and a longer build time. Standard venue flooring may be the more efficient choice for a compact portable display. The right answer depends on the stand design, budget, event duration and expected footfall.

Internet deserves the same attention as power. Venue Wi-Fi can be congested, and a live demonstration or cloud-based lead capture process may need a dedicated connection. Confirm the available options, costs and installation point, then test all devices before visitors arrive. If your stand depends on a digital demonstration, build in a sensible contingency such as locally stored presentation material or a mobile data backup.

Manage compliance as part of the build plan

Health and safety documentation is not a box-ticking exercise. Risk assessments and method statements help ensure that everyone understands how the stand will be delivered, who is responsible for each task and how potential hazards will be controlled. Requirements vary by venue and event, so obtain the exhibitor manual early and work from the organiser’s deadlines.

A risk assessment should cover practical issues such as manual handling, working at height, electrical equipment, trip hazards, access during build and the safe use of tools. The method statement should explain the installation sequence, labour arrangements, equipment and control measures. Depending on the project, venues may also request insurance documents, structural information, fire certificates, electrical testing information or contractor details.

If the stand includes a raised platform, enclosed room, suspended element, complex build or significant electrical load, allow additional time for approvals. These elements can be worthwhile, but they introduce more coordination and are not always necessary for the event objective. A well-executed modular stand with clear messaging can be more effective than a complicated build that consumes budget and creates delivery risk.

Set a working schedule for logistics and installation

Exhibition halls run to fixed timetables. Miss a delivery slot or arrive without the required paperwork, and the installation team can lose valuable build time. A single delivery plan should show what is travelling, when it arrives, who receives it, where it is stored and who has authority to make decisions on site.

Prepare the people who will use the stand
